pTools Intranet for Health Service Executive among 'IT Projects of the Year - 2008'

The Health Service Executive's (HSE) intranet, which is built on pTools content management software (CMS), provides information and services for all of the organisation's 100,000-strong workforce, and will be regularly accessed by over 50,000 HSE staff from a network of more than 25,000 computers.

Key features of the intranet include access to daily staff news, briefings and reports, staff email and contact directories, medical libraries and other resources.

pTools was awarded the contract following a competitive tender process, and worked with HSE ICT Services and the Communications divisions over an 18-month period to deliver the new intranet. Known as HSEnet, it provides a single, unified location for internal online content accessible to all HSE staff and, since going live in November 2007, is already receiving more than 750,000 page impressions per month, and is expected to exceed one million page impressions in the coming months.

Commenting on the benefits of HSEnet, Stephen McGrath, head of internal communications at the HSE, says: "As one of the largest employers in the State, it is essential we have a system that allows for ease of communication between over 100,000 staff members, regardless of location. HSEnet represents a significant communications and business tool for HSE staff nationwide, and makes briefing a workforce of thousands a simple matter - information can be posted and is immediately accessible by everyone."

pTools multi-site architecture allows re-use of content across multiple site locations from a single repository, while maintaining all the necessary workflow and compliance rules demanded of enterprise-level initiatives. pTools distributes content to the intranet, divisional sub-sites and the web from a single environment.

Content compliance within pTools uses sophisticated audit-trail functionality that allows pTools customers to validate all events in the life of the content developed. This is essential given the nature and importance of information delivered to HSEnet.

pTools deploys to Microsoft SQL database and enables content management professionals to use the pTools application programming interface and development tools to deliver solutions for intranets, extranets and internet applications. HSE ICT has used pTools to build out HSEnet and deploy to a multi-server, distributed hosting environment.

Key features of pTools include: advanced workflow and content compliance; rapid deployment and in-built Web 2.0 features; Microsoft SharePoint integration; clean-code accessibility standard; content security marking; SEO optimisation; and multi-site content syndication. In addition, HSEnet will use pTools eForms and pTools GeoMapping functionality to rapidly deploy online forms to staff and to geographically associate content within HSEnet.

Commenting on the development, Tom Skinner, managing director of pTools, says: "This is one of the largest intranet CMS deployments in the world. We've been working on this since 2006, so it's rewarding to see that HSEnet is already proving to be a success - attracting significant use by staff and greatly contributing to the daily work of the organisation."

A number of affiliated agencies, including the Department of Health, the Department of Finance and other hospitals, have also been given access to the intranet.

Skinner continues: "Given the scale and scope of HSEnet, there are clear benefits to the HSE in terms of information management and the efficiencies of driving business applications to the new browser-based interface."
